These challenges await you:
- Support directors and/or managers with day-to-day administrative tasks, including calendar management, meeting coordination, travel arrangements, visa applications, and preparation of presentations.
- Organize and maintain both physical and electronic files, ensuring easy access and up-to-date records.
- Track purchase orders, stationery supplies, and other departmental needs, ensuring timely replenishment.
- Welcome and assist visitors, customers, and suppliers; direct them to the appropriate contacts, take messages, and schedule meetings.
- Monitor key performance indicators and keep departmental dashboards up to date.
- Provide additional administrative support to various functions, including HR, Purchasing, Vehicle Fleet Management, and Reception.
- Work closely with contacts across multiple departments, including in a bilingual or international context where required.
- Plan, coordinate, and manage internal and external events for the department.
You inspire us with that:
- Bachelor's degree in Business Administration, Communications, Hospitality, or a related field
- Several years of proven experience in office administration, reception, office management, or executive support
- Demonstrate fluent verbal and written proficiency in both English and a second language, with the ability to draft professional correspondence and communicate effectively with diverse stakeholders
- Show advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), along with familiarity with digital filing tools, dashboard reporting software, and video conferencing setups
- Display a welcoming, tactful, and professional presence with a strong customer-service mindset
- Have experience handling purchase orders, invoice tracking, and supplier communications
